These Terms and Conditions apply to all bookings made with Chihera Travels. By paying a deposit or any instalment, you confirm that you have read, understood, and agreed to these Terms and Conditions.
1.1 Your booking is confirmed once we receive the required traveller details and the applicable deposit, or full payment where required.
1.2 The lead traveller is responsible for ensuring that all travellers included in the booking have read and accepted these Terms and Conditions.
1.3 You must provide accurate details, including names exactly as shown on passports where flights are being booked. Any costs arising from incorrect information will be your responsibility.
2.1 All deposits are non-refundable under all circumstances.
2.2 Your place is not reserved until the relevant deposit has cleared.
3.1 Any payments due after the deposit must be made at the time specified at booking in order to confirm your space.
3.2 The remaining balance must be paid in full no later than 9 weeks before your trip date, or by the date shown on your invoice, if earlier.
3.3 The final payment is non-refundable.
3.4 Late or missed payments may result in the cancellation of your booking, and cancellation charges may apply.
4.1 All prices are provisional until bookings are fully confirmed and, where applicable, flights are ticketed. Prices may change due to flight fares, hotel rates, availability, taxes, and supplier charges.
4.2 If the total trip cost increases, we will notify you as soon as reasonably possible and provide the revised amount.
4.3 If you do not wish to proceed because of a price increase, you may cancel. In this case, we will retain 3% of the total trip cost as an administration fee and refund the remainder of any monies paid, less any non-recoverable supplier costs already incurred, where applicable.
5.1 If you book your own flights, your booking is land-only and will not be ATOL protected. You are responsible for ensuring your flight times align with the itinerary and for managing any flight delays, cancellations, missed connections, or other travel disruption.
5.2 Where Chihera Travels books flights for you, flight prices and availability may change until tickets are issued. Once ticketed, airline terms and conditions will apply, and changes or cancellations may be non-refundable and may incur airline fees and fare differences. ATOL protection will apply only where your booking is structured in a way that qualifies for ATOL, and this will be confirmed in writing on your invoice or booking confirmation.
6.1 Deposits are non-refundable.
6.2 Final payments are non-refundable.
6.3 After the final balance has been paid, payments are generally non-refundable, as accommodation, flights where applicable, and activities may already have been committed and paid to suppliers.
6.4 Where a supplier issues a refund, we will refund the amount recovered, less any non-recoverable costs, bank charges, and a reasonable administration fee.
6.5 No refunds will be provided for unused services, late arrival, early departure, or missed activities.
7.1 You must purchase comprehensive travel insurance immediately after paying your deposit. Your insurance should include cancellation, medical, repatriation, baggage, and travel disruption cover.
7.2 Travel insurance is essential and remains your responsibility at all times.
8.1 You are responsible for ensuring that you have valid passports, visas, vaccinations, and that you meet the entry requirements for all destinations and transit points.
8.2 Any costs, losses, or disruption caused by failure to meet these requirements will be your responsibility.
9.1 We may make reasonable changes due to supplier availability, operational needs, weather, safety considerations, or events outside our control.
9.2 Where possible, we will offer suitable alternatives.
9.3 We are not responsible for changes caused by third parties, including airlines and hotels, although we will assist where reasonably possible.
10.1 You must behave respectfully towards staff, suppliers, and other travellers, and comply with local laws and venue rules.
10.2 We may refuse service or remove a customer from a trip without refund if their behaviour causes risk, disruption, or distress to others.
10.3 You are responsible for any loss, damage, or additional costs caused by you or any member of your party.
11.1 Chihera Travels acts as an organiser and/or agent for third-party suppliers. While we select suppliers with care, we cannot accept liability for the acts or omissions of third-party suppliers.
11.2 We are not liable for losses arising from events outside our reasonable control, including adverse weather, strikes, civil unrest, natural disasters, transport disruption, or government action.
11.3 Nothing in these Terms and Conditions limits any liability that cannot legally be excluded.
12.1 Complaints must be raised as soon as possible during the trip with us and/or the relevant supplier, to allow prompt resolution.
12.2 If issues are not reported during the trip, this may affect our ability to investigate and/or obtain supplier refunds.
13.1 We process personal data in order to administer your booking and share necessary information with suppliers to deliver your trip.
14.1 These Terms and Conditions are governed by the laws of England and Wales, and any disputes will be subject to the courts of England and Wales, unless otherwise required by law.
